Membership

Individuals may have Graduate Faculty membership in several ways: Tenure/Tenure-track faculty, Extended  membership (including those who have retired or resigned), and Term Membership. Membership types and processes for becoming a member or changing membership status are outlined below. The database is accessible on the Graduate College website to those with an active NetID and password. You can find additional information regarding the responsibilities of membership in the Graduate Faculty in Part II, Chapter 1 of the Graduate College Handbook.

Additions or Changes to the Graduate Faculty Membership

All requests to add or update membership in the Graduate Faculty should be made through the Graduate Faculty Update and Nomination Form. This form is accessible to all Graduate Contacts, Directors of Graduate Study, and Executive Officers. This form allows the request to be automatically routed to the Executive Officer and the Graduate College for review. If you have difficulty accessing this form, please reach out to the Graduate College at grad@illinois.edu.

Membership Requests

Tenure/Tenure-Track Faculty: At the time of appointment or promotion to a tenure-track or tenured position, each faculty member of a graduate degree granting school or college is by definition, an active member of the Graduate Faculty. Additions to the database are done automatically by the Graduate College. New faculty will not appear in the database until the 16th day of the month after the tenure-track appointment is added in Banner.

Please note that changes to a faculty member’s appointment are not automatically made in the database. This could include changes to tenure status or appointment. If a department would like to request that an update be made to an active Graduate Faculty member’s entry, please reach out to the Graduate College.

Extended Membership: When a tenured or tenure-track Graduate Faculty member retires or resigns from the University of Illinois, the department may request that they retain membership for up to five years. Members of the Graduate Faculty who had tenure at the time of retirement or resignation may retain their tenure status for the purpose of serving on doctoral committees. Requests can be made by submitting the Update and Nomination form. Please note that for Term Membership requests, the department will need to submit an updated CV for the individual.

Term Membership: University of Illinois employees without a tenure-track or tenured appointment may be nominated by the unit executive officer for term membership on the Graduate Faculty if the qualifications of the nominee as judged by the Executive Committee and the Dean are comparable to those required for appointment to a tenure-track position in a graduate degree granting school or college. The request is made through the Update and Nomination form and must include a current CV.

Ending Membership

Members of the Graduate Faculty who leave their tenure-track appointment at the University and will not continue as an Extended Member of the Graduate Faculty can be removed from the database and email list when their appointment terminates by submitting the Update and Nomination form.

Those with Extended Membership or Term Membership will automatically be removed from the database when their term expires.

If a Graduate Faculty member wishes to resign their appointment before the end of their term, they may contact the Graduate College.

Graduate Faculty Database Terminology

The Graduate Faculty Database is accessible to all University of Illinois community members with a NetID and password. Membership status and timelines are indicated through specific terminology.

Active Status: Denotes tenured / tenure-track faculty members and term members who are currently employed by the University of Illinois. The column “Tenured” indicates whether the faculty member currently has tenure. For term members, the column “Member Through” includes the date that the membership will expire.

Retired Status: Denotes faculty members who have retired from the University of Illinois and currently have Extended Membership in the Graduate Faculty. Their Graduate Faculty membership is continued through the dates listed in the columns “Member Through” and “Tenure Status Through” (if applicable).

Resigned Status: Denotes faculty members who have resigned from the University of Illinois and currently have Extended Membership in the Graduate Faculty. An example of resigned status may be someone who has left the University of Illinois to begin a job at a different institution. Their Graduate Faculty membership is continued through the dates listed in the columns “Member Through” and “Tenure Status Through” (if applicable).
